Primary Responsibilities: The Manager Trainee is expected to learn and perform all duties within the operations department so that he/she can recruit, train and coach other team members. This position requires multiple skill sets and it is expected that the management trainee be a hands-on person who spends the majority of his/her day "doing". As growth dictates, parts of this position will be assigned to new employees and this position will become more focused and more managerial in nature. There are 4 main functions of this position: Program Administration; Software; Catalog Maintenance and office supervision Program Administration: - Takes over and is solely responsible for client account management "post sale". This "post-sale" period starts with program design and development and continues through deployment and ongoing client support phases. Is the "face" for Incentive Depot for clients.
- Deploys the program, including program set-up and launch, client training and delivery of program communications.
- Ensures that all quoted services are delivered within budget and on schedule
- Provides ongoing client support to meet all client needs at the decision maker, program administrator, manager and program participant level including:
- Checks and signs off on all supplier bill payments and client invoices
- Reconciles client trust accounts.
- Runs reports on behalf of clients
- Supervises customer service, order administration and bookkeeping personnel. Checks all critical work prior to being released
- Assists personnel with dispute resolution
- Responds to client requests for information, reporting, reconciling, program enhancements etc.
- Becomes familiar with program design, rules and workflow procedures
- Proactively identifies and monitors client expectations, resolving problems in a timely manner.
- Assists with proposal development, to include writing strategic sections of the proposal.
- Develops and builds relationship with client contacts.
Software: - Debugs programs prior to sign-off to the client (includes testing software functionality and reporting back to programmer)
- Works very closely with programmer to build, test and then enhance the Order Administration functionality
Catalog Maintenance: - Works with vendors and sales team to identify, clarify and refine recommendations for specific deliverables.
- Updates the catalogs as required; recreates catalogs bi-annually
Office Supervision - Recruits, hires and trains new staff
- Provides ongoing coaching to improve performance and productivity
- Checks and approves critical work performed by others
- Builds good relationship with suppliers and ensures that they live up to our expectations
- Assists customer service, if required
- Assists order administration, if required
- Provides "right hand" support to President
- Runs the office in the President's absence
- Creates training material
- Streamlines procedures and improves performance
- Participates in sales calls, meetings, contract negotiations and business reviews to provide support for accounts as needed from an operations perspective.
- Produces and delivers quarterly program reviews, refresher training, industry best practices, and monitoring potential to expand IDI programs within the client organization.
- Supports and adheres to policies and procedures established by the company and agrees with IDI's ethics, standards and commitments.
Requirements:- College diploma or greater in business management
- Minimum of 2 years experience managing projects
- Demonstrated ability to manage client relationships
- Previous supervision and/or management experience in a small office environment
- Strong knowledge of web application technology
- Mastered all MS Office products
- Major account/project management experience, including development of proposals and financial rationale, management of costs and resources, and quality assurance of deliverables.
- Ability to understand needs from both a business and technical perspective, and to provide creative and high-impact solutions for large client organizations
- Strong analytical skills and the ability to multi-task
- Strong verbal, written, and presentation skills including email and telephone
- Strong interpersonal and customer relation skills
- Has high energy level, is innovative and constantly seeking new ideas
- Well organized, ability to work to multiple deadlines.
- Flexibility to travel as required
- May be required to work overtime to meet deadlines
- Team player... will pitch in and help others, including in other departments, if required.
